Keeping accurate and up to date mileage records has never been more important and in order to meet the requirements of the HMRC you need to keep a record of your business mileage claims.

Using the Quartix driver id tagging feature and our trip reporter you can now easily separate business from personal mileage in a single report.

How does this work?

Firstly, you will need to be using our driver id tagging system. This involves installing a magnetic reader in your vehicle and supplying each of your drivers with a magnetic identification tag.


To tag or not to tag, that is the question

The business and private mileage will be separated by your driver applying the tag for either business or private trips. You can decide which way is best for you and your drivers and once known let our Systems team know who can ensure the system is configured correctly. This places the responsibility on your drivers to ensure they are applying their tags for the correct trips otherwise the reporting will be inaccurate.

Recovering your mileage data

You can report on your mileage data using 2 online reports.

Daily Vehicle Logs

Available from your application menu, the daily vehicle log will provide you with a daily overview of your vehicles activity as it happens, updating throughout the day. The addition of the business/private mileage is shown as tick box on your standard Quartix screen as shown below.

By selecting this option your mileage for each trip will then be listed as business and private with the totals of each summarised below your log.


Trip Reporter

This report will allow you to run your query over a specified period time dating back upto 12 months online and across multiple vehicles or individual driver tags (group by driver). Trip reporter can be located under the Trips section from your application menu.

You can control the mileage information shown in this report by using tick boxes under the section 'Privacy'.

Note: Untracked distance is mileage completed whilst the unit is in privacy mode where tracking data is not recorded.

When run, you will be shown a summary of your vehicles activity over the period of time you have run it for, as shown below.

**Untracked mileage will only be populated if your vehicle is set into privacy mode. By default your units are set to record trip data 24/7 and as a result this field would not be populated and show as zero.

You will also have the option alongside each vehicle to extend into the trip information and see how the trips were tagged.

Trip reporter also offers you the option to print, export and/or schedule your report so you can keep these safely for your records should the taxman ever visit.
